Stallholder Applications Now Closed

The Winter Magic Festival is the largest community event in the Blue Mountains and the community is excited about this year’s festival. Once again the festival team is grateful to the community for the overwhelming response we received to the call for stallholders and we are full to the brim with an exciting variety of stalls that we will have this year.

The committee looks forward to working sustainably with you making the Winter Magic Festival a truly magical event. We can’t do it without you!

The Festival:

  • Aims to be as green as it can be.
  • Will safely close Katoomba Street (and parts of Bathurst Rd) for the event.
  • Host a fabulous pedestrian parade.
  • Considers type of product, visual representation and overall diversity and variety of stalls onsite.
  • Has limited the total number of stalls this year to 150 aiming to showcase local artists and businesses.

Stall Pricing and Zoning:

The Winter Magic Festival has the capacity to host the following size stalls:

  1. 3x3mtr marquee
  2. Food truck/Van/Trailor – size and dimensions will be required upon application to determine appropriate pricing fee
  3. 6×3 mtr Marquee – spots limited, increased fee

The stall placement will be along the permanent vehicle parking spots along Katoomba St & Bathurst Rd. Stall Placement will be marked out the night before the festival. Stalls must be contained within their space, for more information please read out Terms & Conditions. For this years festival we can have 150 stalls in our footprint.

You will have the option of choosing your zoned area, however, we will be placing you in accordance and respect to the local businesses along the main strip i.e.: we will not put a coffee cart in front of a café.

Winter Magic’s footprint for stalls is broken down into two zones. These reflect the times of stall operation. Please see below times & map:

  1. Blue Zone: Trading from 9am until 4.30pm, access setup from 6am
  2. Green Zone: Trading from 9am until to 7pm (fireworks at 6pm), access for setup from 6am 

Pricing is based on 3x3m and 3x6m stall spaces, however fees can be negotiated with  the stalls co-ordinator depending on size requirements. Power and water are not included

Terms & Conditions

Stallholders must:

  1. Read and accept these terms and conditions.
  2. Comply with the provisions of the NSW Food Act 2003 and the Food Standards Code.
  3. Provide a copy of current public liability insurance to the value of $10 million.
  4. Pay stall fee in full to receive confirmation of stall placement.
  5. Provide a list of products to be sold. Only products described and approved may be sold. Any changes must be approved by the stalls coordinator.
  6. Remove all stall holder waste. The festival ensures that all waste generated is separated into recyclable, compostable and general waste and encourages stall holders to minimize waste to landfill.
  7. Only use packaging that is fully recyclable or compostable and complies with:
    • No single use plasticsNo bioplastics, biodegradable plastics, polystyrene, plastic straws,
    • Any stall using these products may be restricted from trading on the day.
  8. Follow the reasonable direction of the Stalls Co-Ordinator.
  9. Cease trading at the agreed time.
  10. Contain your merchandise in your stall area. Spacing between stalls is a safety requirement.
  11. Generators are permitted but must use clean and quiet power.
  12. Comply with relevant Work Health and Safety 2011 requirements including but not limited to:
    • Appliance testing and tagging.
    • Compliant gas bottle supply (new gas bottle fitting LCC27)
    • Safe structure, including weighting. EG: We recommend 20kg weights per corner of your structure, they must be placed and tied to the structure.
    • Safe access around stall to mitigate trip hazards
    • Fire safety equipment

The Katoomba Winter Magic Festival and committee:

  • will conduct inspections of stalls for compliance with the terms and conditions on the day of the festival.
  • is not liable for the security of goods or money and is not responsible for the loss of any income for any reason.

Once payment in full has been made, and you have secured your spot at the 2023 Winter Magic Festival, the following conditions will apply to cancellation:

  1. Cancellations up to 6 weeks prior to the festival date will receive a 50% refund of what has been paid.
  2. Cancellations less than 6 weeks prior to the festival will not receive any refund.

All temporary food stalls and mobile food vehicles operating within the Blue Mountains area are required to notify the NSW Food Authority. This can be done at www.foodnotify.nsw.gov.au and is free of charge. For more info see Blue Mountains City Council info at EVENTS Waste Management

A ‘food business’ is required to sell safe and suitable food in accordance with the provisions of the NSW Food Act 2003 and the Food Standards Code. Copies of Food Standards 3.1.1, 3.2.2 and 3.2.3 are available on Blue Mountains City Council’s website and the Food Standards Australia New Zealand website www.foodstandards.gov.au.

Appointment of a Food Safety Supervisor and display certificate

All measures must be taken to comply with the requirements of SafeWork NSW to protect the health, safety and welfare of workers and visitors at the event. Contact SafeWork NSW for more information.

New Gas LPG Gas Bottle Fitting:

  1. If you are using LPG gas bottles. Your gas bottle and appliance must be fitted with the new LCC27 fitting. This is a new safety regulation and if you require more information please visit: https://www.snowys.com.au/blog/pol-and-new-lcc27-gas-fitting/ we kindly ask for you to adhere to this as it is a way we can mitigate safety at the festival.
